Pre-Study Supervisor


Position Description:

   

The Pre-Study Supervisor is responsible for the operations involved in recruiting and screening volunteers for clinical trials by managing a call centre and a screening clinic through the effective use of available resources. The supervisor will provide volunteer recruitment and retention strategy expertise and leadership to clinical teams with recruitment and retention-related activities to meet study enrolment timelines. 

KEY RESPONSIBILITIES:     

 

  1. Liaise with team leads and members, operatives and third parties to gather information and resolve issues.
  2. Maintain an up-to-date knowledge of industry developments and involvement in or membership of networks.
  3. Handle all advertising needs for patient recruitment, including but not limited to creating ads, coordinating IRB approvals, selecting and coordinating with vendors for advertising needs, tracking and analyzing advertising spend etc
  4. Responsible for meeting and setting customer service targets and planning areas of improvement or development for the call center.
  5. Makes fact-based decisions regarding recruiting strategy by possessing a detailed and objective understanding of the business and the market in which they operate.  Based on this knowledge uses available resources, including media, to grow the volunteer database.
  6. Has a comprehensive knowledge of the volunteer database by breaking it down into various constituent groups of volunteers and develop profiles for each one focusing on any number of variables that may differ among the volunteers such as demographic, medical history, availability, behavioral, and any other relevant factors.
  7. Plans and develops staff recruitment, and liaising with HR staff;
  8. Monitors performance objectives and results (KPIs) for the call center and screening and works with the teams to improve performance through motivation and incentive programs for employees.
  9. Challenge and make recommendations to senior management to achieve best possible time, financial and resource utilization regarding volunteer recruitment. Identify and anticipate potential problems impacting ability to meet business goals. Develops and implements methods of improvement and resolution.

10.  Handles the most complex volunteer and client complaints or enquiries;

11.  Develops, implements and reviews core responsibilities and tasks of their departments.

12.  Oversee, coordinate and assist, as needed, with all pre-study planning activities, in      compliance with the protocol, implemented procedures, SOP’s, GCP regulations and regulatory  bodies. 

13.  To develop and present training program for recruiting needed.

Qualifications & Experience:

   

The incumbent can possess a BS/BA, a minimum of 3 years of clinical research experience, of which minimum 2 years are focused on volunteer/patient recruitment. Experience with managing, implementing, assessing a variety of recruitment strategies in clinical research.  Minimum 2 years of Call Centre experience in a management or supervisory role with a minimum span of 10 agents.  

Knowledge of regulatory requirements pertaining to GCP, applicable GLP, cGMP and ICH is a definite asset.  Proficient use of relevant computer software packages in a Windows environment (i.e. MS Word, Excel, PowerPoint) is also required. 

Excellent verbal, written and interpersonal skills are required.
